Privacy Policy (GDPR) — Footprints Photography

Footprints Photography (“we”, “us”, “our”) respects your privacy and is committed to protecting personal data. This page explains what we collect, why, how long we keep it, and how you can exercise your rights under the UK GDPR.

2. What personal data we collect

We collect and process the following categories of personal data:

  • Account & contact information: parent/guardian name, email, phone number, postal address (if provided for orders).

  • Order & payment information: purchase history and order confirmation data. (We do not store full payment card details; payments are processed by third-party payment providers.)

  • Photographs & school information: photographs taken at school sessions, class/group identifiers, school name, gallery access codes (if provided by the school).

  • Technical data: IP address, browser/device details and essential cookies for secure login.

3. How we collect data

We collect data when you create an account or place an order via the GotPhoto platform, when schools provide gallery or class information, and via essential cookies needed for login and gallery access.

4. Legal bases for processing

  • Contract: to provide access to photographs and fulfil orders.

  • Legitimate interests: to operate our website, maintain account security, prevent fraud and communicate about orders.

  • Consent: for optional marketing communications (you may withdraw consent at any time).

5. How we use your data

We use your data to:

  • Provide secure access to photo galleries and manage accounts.

  • Process and deliver orders (including printing and fulfilment handled by GotPhoto/its partners).

  • Contact you about orders, account issues or service updates.

  • Store and archive images as described below.

  • Comply with legal and financial obligations.

We do not sell personal data.

6. Retention periods

  • Photographs: Stored on GotPhoto for 3 months after the gallery is published, then archived. Archived galleries are retained internally but are not publicly visible. (If you require earlier deletion, see the “Your rights” section.)

  • Customer accounts & personal data: Currently retained until you request deletion; accounts are not automatically deleted. We can delete accounts on request.

  • Order/financial records: Retained for accounting purposes (typically up to 6 years).

7. Where and how your data is stored

Your photographs and account data are stored on GotPhoto’s secure servers. GotPhoto is used widely by UK school photographers and implements industry-standard security measures, including encryption in transit and appropriate access controls. Data may be held in the UK/EU depending on GotPhoto’s infrastructure.

8. Who we share data with

We only share personal data where necessary to provide our service:

  • GotPhoto — hosting galleries, account management and order processing.

  • Payment processors — for secure payment handling (as configured via GotPhoto).

  • Printing and fulfilment partners — where printing is required to complete an order.

We do not share data with marketing companies or other third parties for resale.

9. Marketing

We recently started sending optional marketing emails. These are only sent to contacts who have opted in. You can unsubscribe at any time using the link in the email or by contacting us.

10. Cookies

Our service uses essential cookies required for login and secure gallery access. Optional analytics or tracking cookies are only used with consent where applicable via the GotPhoto platform.

11. Your rights

Under the UK GDPR you have the right to:

  • Access your personal data

  • Request correction of inaccurate data

  • Request deletion of your account or photographs

  • Restrict or object to our processing

  • Request data portability

  • Withdraw consent at any time (where processing is based on consent)

  • File a complaint with the Information Commissioner’s Office (ICO)
